Geo-Technology Associates, Inc. (GTA) is currently seeking an experienced Office Manager / Administrative Professional for our Charlotte, North Carolina office. This position will assist the Branch Manager with general operations of our 25-to-30-person consulting/engineering office.

Successful candidates should have 5 years’ administrative experience in a professional office setting, preferably with an engineering services firm. This position interacts with and supports our partners, senior managers and other staff. Hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.

The responsibilities for this position include, but are not limited to:

  • Oversee and support all administrative duties in the office
  • Develop and implement office policies and procedures
  • Identify and implement opportunities for process and office management improvements
  • Facilitate maintenance and repair of office equipment
  • Perform high-volume and accurate project/contract entry into BST software
  • Develop and maintain beneficial relationships with external clients and internal team members
  • Communicate regularly with managers and billing staff regarding payment issues
  • Follow up on invoices/payments with clients
  • Manage office supplies inventory and place orders as necessary
  • Receive, sort and manage incoming/outgoing mail, deliveries and Fedex
  • Assist with on-boarding new employees
  • Coordinate office social activities


Office/Operations Manager Job Requirements:

  • 5 years of experience in a professional office setting
  • High school diploma or college degree
  • Strong communication skills (verbal and written)
  • Excellent time management and organizational abilities
  • Superior proofreading and editing skills
  • Team player with the ability to work independently
  • High proficiency in Excel, Word, PowerPoint, Adobe & Outlook
  • Detail-oriented with self-review capabilities
  • Ability to perform repetitive tasks with consistency and accuracy
  • Technical writing experience a plus
  • Positive, can-do attitude!
